Terms & Conditions

BOOKING

  • Initial consultation for new clients is free. For each new project SK Virtual Assistant will provide up to 30 minutes of free consultation. Additional time spent discussing other project matters and/or alterations to finished projects will be billed at a rate of £10 per hour (charged in 15 minute increments).
  • Each new assignment will be quoted and detailed on a booking form which, along with our terms and conditions, must be agreed and signed by the client before work can commence. In urgent cases we will accept confirmation by email without a signature, however will require a follow-up letter or email showing a real signature as soon as possible.
  • Should the details of the assignment change either at the beginning or part-way through, an addendum quoting the changes, and any additional charges, will be drawn up to be signed by the client before work will continue. Should the client cancel the assignment before completion they will be liable to charges for work already undertaken.
  • New clients will be asked to pay a deposit of 30% before work can commence, the balance of which will be invoiced at the end of the assignment. If the cost of the assignment will total more than £50 we will request a deposit of 30% before work can commence. The balance will be invoiced when all work has been completed.
  • SK Virtual Assistant reserves the right to refuse, without explanation, to undertake any work which we believe is unethical or unlawful, or outside of our skill set. The client will not request SK Virtual Assistant's services for any work that is illegal, immoral or objectionable, or work that breaks copyright law.
  • SK Virtual Assistant is NOT a call management centre, a Management Consultancy, or HR Advisor. We are not able to advise clients on serious decisions affecting their own business.
RECEIPT OF ASSIGNMENT
  • As soon as SK Virtual Assistant has received the signed booking form we can receive work by Royal Mail or courier (in hard copy, floppy disk, CD or memory stick as applicable), email or fax.
  • SK Virtual Assistant uses anti-virus protection, performs regular system scans, and all incoming emails are scanned for viruses, however if an unexpected email containing an attachment is received we reserve the right to delete it without opening. The client is responsible for their own anti-virus protection.
ON COMPLETION OF ASSIGNMENT
  • Our standard turn-around time is 48 hours from receipt of work where feasible. Larger projects will have negotiated deadlines.
  • SK Virtual Assistant will proof-read all completed work before dispatching to the client however it is the client’s responsibility to perform a final proof-reading. Any errors caused by SK Virtual Assistant will be corrected within a reasonable time (10 days of dispatch) at no extra cost. Any errors caused by the client will be corrected at our usual rates.
  • We will return work to the client by Royal Mail (hard copy, CD, floppy disk or memory stick as applicable), email or fax as arranged. Should the client request that a courier be used, SK Virtual Assistant will include the cost of the courier on the invoice.
PAYMENT
  • Hourly rates are charged at 15 minute increments.
  • SK Virtual Assistant will invoice the client either on completion of the assignment, or at the end of the month as agreed at the time of booking. Invoices can either be posted or emailed as requested.
  • SK Virtual Assistant can provide the client with a timesheet at the time of invoicing if requested.
  • Payment terms are 17 days within date of invoice. Payment may be made by cash or cheque (in £Sterling and made payable to S. Kemp). SK Virtual Assistant will also accept payment by Paypal in urgent cases however this will be at a charge of 4% to cover Paypal fees. SK Virtual Assistant reserves the right to charge interest on outstanding invoices. Should bank charges arise due to dishonoured cheques, responsibility for settlement will rest with the client.
  • If work needs to be completed outside of normal office hours (ie, outside of 9am to 5pm Monday to Friday), or should the client require work urgently (ie, within 48 hours), SK Virtual Assistant may charge an extra 20%. This would be discussed at the time of request.
GENERAL
  • SK Virtual Assistant will perform a back-up of all work onto CD which will be held in a separate building. We will keep back-ups for a period of 12 months at which time all information will be destroyed unless requested otherwise by the client. We will undertake every precaution for the safety of your work however cannot accept liability in the event of fire, flood, theft or accidental damage. All work that leaves SK Virtual Assistant’s premises does so in pristine condition – we cannot accept liability for damage or loss caused by Royal Mail.
  • SK Virtual Assistant abides by a Code of Ethics and will adhere, at all times, to our confidentiality agreement , a signed copy of which can be sent to you if required. Any personal data held by SK Virtual Assistant will be held in full compliance of the Data Protection Act 1998 where applicable. Personal data will not be passed to third parties unless required by law.
  • Intellectual property rights over all original documents, layouts and templates created by SK Virtual Assistant will be held by SK Virtual Assistant.
